Terms of Service
Effective October 8, 2026
This is the version effective October 8, 2026. The version effective October 30, 2026 replaces it from that date. Read the current version.
1. Who we are
These terms are an agreement between you and Assigntime, operated by an individual in North Carolina, United States ("Assigntime", "we", "us"). They cover the website at assigntime.org, the Assigntime app, accounts, subscriptions and waiting lists (together, "the service").
If you use the service for an association, league, club or other organization, you confirm that you're allowed to accept these terms for it, and "you" includes that organization.
2. Accepting these terms
You accept these terms when you tick the box to create an account, when you subscribe, or when you otherwise use the service. If you don't agree, please don't use it. Our Privacy Policy explains how we handle personal information. Our Refund and Cancellation Policy is part of these terms.
3. Who can use Assigntime
You must be at least 18 years old and able to make a binding contract where you live. Assigntime is built for people who assign or manage sports officials. It isn't meant for children, and officials don't need an account.
4. Your account
- Use an email address you control, and keep your password to yourself.
- An account is for one person. Don't share it or let anyone else sign in as you.
- Tell us straight away at support@assigntime.org if you think someone else has used your account.
- You're responsible for what happens under your account.
We may refuse, suspend or close an account that was set up with false information, is used to break these terms, or puts the service or other people at risk.
5. The free trial
- New plans start with a free trial of 21 days.
- You add a payment card when you start the trial, and the checkout page shows the date of the first charge.
- Unless you cancel before the trial ends, your card is charged the plan's price on that date and every month after, until you cancel.
- Cancel online at any time during the trial and you won't be charged. You keep access until the trial ends.
- If a trial ends without a paid plan, the app stops opening until you subscribe. Your data stays in your browser (see section 9), and anything you synced is handled as section 9A describes.
- One free trial per person. We may decline a second one.
- Trials that started without a card are never charged. They end on their original date. If you choose a plan while more than two days of one are left, your card isn't charged until that date. With two days or less left, billing starts the day you subscribe, and the checkout page shows that before you pay. If one has already ended, the plan you choose starts with one free trial with a card.
6. Plans, prices and payment
- Prices are listed on assigntime.org in US dollars and don't include sales tax. Where sales tax applies, it's added at checkout.
- Paid plans are billed monthly, in advance, starting when your free trial ends, or on the day you subscribe if you start without a trial.
- Your subscription renews automatically every month, and we charge your payment method the plan's price each month, until you cancel. By subscribing, you authorize those recurring charges.
- We'll email you to confirm when your trial or plan starts, with the price, the date of the first charge and how to cancel, and once a year to remind you what you're subscribed to.
- Payments are processed by Stripe, a PCI-certified payment processor, over encrypted connections. We never see or store your full card number.
- If a payment fails, Stripe tries your card again for up to a week, and you keep access for 7 days after the failed payment. After that the app pauses until the payment goes through. If it still can't be taken, your plan ends and nothing more is charged.
- If a discount applies, such as an introductory offer, the checkout page shows the discounted price, how long it lasts and the full price after it.
- If we change the price of your plan, we'll email you between 7 and 30 days before the new price applies to you, and you can cancel before it does.
- Features a plan lists as "coming soon" aren't part of what you pay for until they're available, and we don't promise when that will be.
- A plan shown with a waiting list instead of a way to start it isn't available yet. Joining its waiting list is free. It isn't a purchase or a pre-order, and it isn't a promise that the plan will launch, or launch with the features or prices described.
7. Cancelling
- You can cancel at any time, online from the billing page in your account (Manage billing in the app's Settings), or by emailing support@assigntime.org from the address on your account.
- If you cancel during a free trial, you won't be charged at all, and you keep access until the trial ends.
- Cancelling a paid plan stops future renewals. You keep access until the end of the month you've already paid for, and you won't be charged again.
- We'll confirm your cancellation by email.
8. Refunds
We don't refund partial months or unused time, except as our Refund and Cancellation Policy describes. That includes a full refund of a charge you didn't mean to make, including the first charge after a free trial, if you ask within 7 days of it.
9. Your data stays with you
- Unless you turn on sync (section 9A), Assigntime keeps your season — officials, contact details, availability, games, assignments, assessments, match-report records and settings — in your own web browser, on your device. It isn't sent to us, we can't see it, and we can't recover it.
- Clearing your browser's data, using a private window, switching browser or device, or a problem with your device can erase your data or make it unavailable. Keeping copies is your responsibility. Your assigning platform should remain your system of record, with or without sync.
- If your trial or subscription ends, your data stays in your browser. You can download a copy from the page shown when your access has ended.
- Your account itself — your email address and plan details — is held by us as the Privacy Policy describes.
9A. Synced seasons
- What it is. On plans that include it (today the Assignor and Association plans, and complimentary accounts we choose), you can turn on sync. For each organization you choose, we then store its season with our database provider, so it opens on every device where you sign in. How each device is displaying it, such as the day selected and your filters, stays on that device.
- Your confirmation. When you turn sync on, and whenever you add an organization to it, you confirm that you're authorized by the organization whose officials are included to store their information with Assigntime, including information about officials under 18, and that any notice or consent the law or that organization's rules require has been given or obtained.
- Who decides. For officials' information in a synced season, you and the organization you act for decide what is stored and why. We store and process it only on your behalf: to sync it to your devices, to keep it secure, to support you when you ask, and as the law requires. We don't sell it, share it for advertising, or use it to contact anyone, except to deliver messages you tell us to send (section 12). Our Data Processing Addendum sets out those commitments and forms part of these terms for synced seasons.
- Turning it off. Turning sync off, or taking an organization out of it, deletes the stored copy straight away, including its older versions and screenshots. Any copies in our database provider's backups are overwritten within 7 days. Each device keeps the copy it has.
- When your plan ends. Synced seasons stay stored for 90 days after a trial, plan or complimentary access ends, so you can get them back. During that time, email support@assigntime.org and we'll send you a copy or delete them sooner. After 90 days we delete them.
- Keep your own copies. Sync keeps devices in step. It isn't a guarantee that data will never be lost, so section 9's advice about keeping copies still applies.
10. Officials' personal information
The files you import usually contain personal information about other people, including referees who may be under 18. You decide what goes into Assigntime and how it's used, so:
- Only import and use information you're permitted to use, and only for assigning and managing officials.
- Follow the laws and the rules of your association, league or governing body that apply to that information, including privacy, safeguarding and communication rules.
- Take extra care with information about minors, and don't import more than you need.
- You're responsible for how that information is used, including anything you export, print or send.
Without sync, that information stays on your device: we don't collect, store or process it, and we don't act as your data processor or service provider for it. When you turn on sync, we store and process it for you, as your service provider, only as section 9A and the Data Processing Addendum describe.
When you send messages through Assigntime (section 12), we also handle the recipients' contact details and the message for you, as your service provider, to deliver it.
11. Suggestions, not decisions
Assigntime reads the files you import and the settings you choose, and it suggests candidates, rankings, crews, conflicts, upgrade counts, assessments and reminders. Those suggestions can be wrong or incomplete — for example, when a file is misread, out of date or missing information.
You make every assignment and every decision. Before relying on anything Assigntime shows, check it yourself, including an official's availability, qualifications, certification, age, safeguarding requirements, conflicts of interest and travel, and your association's rules. We aren't responsible for assignments, schedules, pay, suspensions, assessments, upgrades or any other decisions made by you or your organization.
12. Messages you send
- From your own apps. Wherever Assigntime prepares a notice or reminder, you can open it in your own email or text-messaging app and send it yourself. Then we play no part in sending it.
- Through Assigntime. On plans that include it (today the Assignor and Association plans, and complimentary accounts we choose), you can have Assigntime send emails for you once email sending is available, and texts once texting is available and you turn it on. We deliver each message on your instructions, as your service provider. You remain the sender.
- Your responsibility. You're responsible for what your messages say, for who you send them to, and for following the laws and policies that apply, including anti-spam laws, consent rules for text messages, and your organization's safeguarding policies. For texts, you must only text people who agreed to get texts from you, and Assigntime only sends texts to numbers with a recorded opt-in for you.
- Officiating business only. Use sending for assignments, schedules, match reports and other officiating business. Don't use it to advertise or sell anything, and don't send anything about sex, hate, alcohol, firearms, tobacco, lending or other content a mobile carrier would block.
- Opt-outs. Every email has a link to stop emails from you for the organization it was sent for, or from everyone using Assigntime, and every text can be stopped by replying STOP. When someone opts out of emails, we stop sending them your emails for that organization, or any emails at all if they chose everyone. A STOP stops every text from your number, whichever organization it was about. You can see that they opted out, but you can't undo it. Only they can: for emails by writing to us, and for texts by texting START to your number.
- Limits and pauses. Plans have sending limits, shown in the app, that are lower during a free trial. To protect delivery for everyone, we may refuse, hold or pause sending, for example when many messages bounce or are reported as spam, or many officials reply STOP to your texts. We'll tell you why.
- Texting needs a carrier check. To text, we get you your own toll-free number and register it in your name, or your organization's, with the carriers' review, using the details you give us. We send those details to Twilio, our texting provider, for the check, and we don't keep them. A carrier can refuse it or take time to approve it, and we can't promise it will be approved. You can release the number at any time, and we release it 30 days after your access ends; setting up texting again means a new number and a new check.
- Who gets your texts. Officials sign up for your texts themselves, on a sign-up page Assigntime hosts with your name on it, or by texting JOIN to your number. Assigntime sends texts only to numbers that signed up for yours, starts every text with your name, adds the words to opt out to the first text and from time to time after, and doesn't send texts between 9 pm and 8 am in the time zone of the number's area code. Replies other than STOP, START, HELP and JOIN are forwarded to you by email.
- Officials under 18. The sign-up page asks an official under 18 to confirm that a parent or guardian agrees. Assigntime doesn't send copies of texts to parents or guardians, so if your organization's safeguarding rules call for that, follow them yourself.
- Delivery. "Delivered" means the recipient's mail server or carrier accepted the message. It doesn't mean it was read. Email and texts can be delayed, filtered or lost, so don't rely on them alone for anything urgent or required.
13. Using the service fairly
Please don't:
- share, sell, rent or sublicense access, or let anyone else use your account;
- copy, host or distribute the Assigntime app, or keep using a saved copy of it without an active trial, plan or complimentary access;
- get around sign-in, the trial, payment or any other limit on access;
- reverse engineer or decompile the service, except where the law allows it despite this restriction;
- probe, scan or test the service's security without our written permission, or interfere with how it works;
- use the service to break the law, to harass anyone, or to send messages people haven't agreed to receive or have asked to stop;
- use automated tools to scrape or overload the service.
14. Our rights in Assigntime
We own Assigntime, including its software, design, text, and the Assigntime name and logo. While your trial, subscription or complimentary access is active, we give you a personal, non-exclusive, non-transferable, revocable permission to use the service for your own assigning work under these terms. Nothing else is transferred to you.
If you send us feedback or ideas, we may use them without owing you anything.
15. Other companies' services and names
- The service relies on other providers, including Netlify (hosting), Supabase (accounts and synced seasons), Stripe (payments) and Resend (email delivery). Problems on their side can affect Assigntime.
- Arbiter, GotSport, Sprocket and other product names mentioned on our site belong to their owners. Assigntime is independent and isn't affiliated with, endorsed by or sponsored by them. Your use of their exports is governed by your agreements with them.
16. Changes to the service
We're still building Assigntime, and we may add, change or remove features. If a change substantially reduces what your paid plan does, you can cancel and we'll refund the unused part of your current month. If we ever shut the service down, we'll give at least 30 days' notice by email and refund any unused part of a paid month.
17. Availability
We work to keep Assigntime available, but we don't promise that it will be uninterrupted, error-free or available at any particular time. Maintenance, problems with our providers, and events outside our control can interrupt it. An outage on our side doesn't touch the copy of your season on your device, and sync catches up when the service is back.
18. Ending this agreement
- You can stop using the service, and cancel your plan, at any time.
- We may suspend or end your access if you break these terms, if a payment isn't made, if the law requires it, or to protect the service or other people. Where it's reasonable, we'll tell you first and give you a chance to put things right.
- When your access ends, your permission to use the app ends too. The sections that by their nature should continue — including those on your data, officials' information, suggestions, disclaimers, limits on liability, your responsibility to us, and disagreements — keep applying.
19. Disclaimers
TO THE FULLEST EXTENT THE LAW ALLOWS, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." WE DISCLAIM ALL WARRANTIES, WHETHER EXPRESS OR IMPLIED, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE AND NON-INFRINGEMENT, AND ANY WARRANTY THAT THE SERVICE OR ITS SUGGESTIONS WILL BE ACCURATE, COMPLETE, UNINTERRUPTED OR ERROR-FREE, OR THAT DATA STORED IN YOUR BROWSER OR SYNCED THROUGH THE SERVICE WILL BE PRESERVED.
Some places don't allow certain warranties to be excluded, so some of this may not apply to you.
20. Limits on our liability
TO THE FULLEST EXTENT THE LAW ALLOWS: (A) WE WON'T BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, REVENUE, DATA OR GOODWILL, EVEN IF WE WERE TOLD THEY WERE POSSIBLE; AND (B) OUR TOTAL LIABILITY FOR ALL CLAIMS ABOUT THE SERVICE OR THESE TERMS IS LIMITED TO THE GREATER OF THE AMOUNT YOU PAID US IN THE 12 MONTHS BEFORE THE EVENT THAT GAVE RISE TO THE CLAIM, OR US$100.
These limits don't apply to liability for our fraud, gross negligence or willful misconduct, or where the law doesn't allow them, such as liability for death or personal injury caused by negligence where that can't be limited.
21. Your responsibility to us
If someone brings a claim against us because of information you put into or took out of Assigntime, messages you sent, assignments or decisions you made, or your breach of these terms or the law, you'll cover our reasonable losses and costs from that claim, to the extent the law allows. We'll tell you about the claim promptly and let you take part in the defense.
22. Disagreements
- Talk to us first. Email support@assigntime.org and describe the problem. We'll try in good faith to resolve it within 30 days, and most things can be fixed much faster.
- Governing law. These terms are governed by the laws of the State of North Carolina and applicable US federal law, without regard to conflict-of-laws rules.
- Where claims are heard. Any lawsuit about the service or these terms will be brought in the state or federal courts located in North Carolina, and we both consent to those courts' jurisdiction. Either of us may instead bring an individual claim in small claims court if it qualifies.
- Your local rights. If the law where you live gives you rights that can't be waived by contract — including the right to bring a claim in your local courts — nothing in these terms takes those rights away.
23. Changes to these terms
We may update these terms. When we do, we'll post the new version on this page with a new effective date. If a change is material, we'll email account holders at least 14 days before it takes effect, unless the law requires it sooner. If you keep using the service after a change takes effect, the updated terms apply; if you don't agree with them, cancel before then. A change never applies to a disagreement that arose before it.
24. Everything else
- Whole agreement. These terms, the Privacy Policy, the Refund and Cancellation Policy and, for synced seasons and messages sent through Assigntime, the Data Processing Addendum are the whole agreement between us about the service. Where the Data Processing Addendum and these terms disagree about officials' information in a synced season or in a message sent through Assigntime, the Addendum applies.
- Email. You agree that we can send notices, receipts and other communications by email, and that they satisfy any legal requirement for communications in writing.
- Transfer. You can't transfer your account or these terms. We may transfer them to a business that takes over Assigntime, including one we form to run it, and your rights under them continue.
- Severability. If any part of these terms can't be enforced, the rest still applies.
- No waiver. If we don't enforce something straight away, we can still enforce it later.
- Events beyond control. Neither of us is responsible for a delay or failure caused by events outside reasonable control, such as provider outages, internet failures or natural disasters. This doesn't excuse paying for service already provided.
25. Contact
